The work: catch the taxable benefits you’ve been ignoring all year (vehicles, phone plans, gift cards, premiums), reconcile CPP and EI before the CRA’s PIER review does it for you, decide bonuses while the timing still has tax value on both sides, confirm who’s actually an employee versus a contractor, and clean the employee data that generates amended-T4 season. Each item is small in the fall and expensive in February.

Nobody thinks about T4s in October, which is precisely why February is terrible. Every year-end payroll disaster we’ve ever untangled had the same shape: twelve months of small unrecorded things, discovered all at once, under deadline, after the last pay run that could have fixed them cheaply.

So here’s the fall list — while there are still pay runs left in the year to fix things through.

Catch the taxable benefits before they become February surprises

The CRA’s definition of employment income is wider than most payrolls. The usual suspects quietly accumulating in your books right now:

Personal use of a company vehicle. The standby charge and operating benefit are real, calculated amounts — and they require the thing nobody kept: a kilometre log splitting business from personal use. Starting the log in October beats inventing one in February.

Gift cards and rewards. The CRA’s gift policy gives some room for non-cash gifts, but cash and near-cash (gift cards, with narrow exceptions) are taxable from the first dollar. The holiday season you’re about to plan is exactly where this bites — structure the gifts now, intentionally.

Employer-paid premiums on certain insurance, personal cell plans, memberships, employee discounts beyond policy — the long tail of “it’s just a perk” items that each carry a rule.

Shareholder-employees blur this worst: the truck, the travel, the phone. Benefits not caught as payroll have a way of resurfacing as shareholder appropriations, which we covered in the shareholder loan post — a far worse outcome than just T4’ing the benefit properly.

The fall move: list every non-salary thing the company pays that touches a human, decide the treatment on each, and run catch-up through a November or December payroll — while a pay run still exists to deduct against.

Reconcile CPP and EI before PIER does

After you file T4s, the CRA runs its Pensionable and Insurable Earnings Review — recalculating what CPP and EI should have been per employee and billing you for shortfalls, both portions, employer-first. Mid-year raises, bonus runs, software settings, and employees who crossed thresholds are the usual culprits.

Running the same check yourself in November — payroll software report, ten minutes per anomaly — means discrepancies get fixed in the remaining pay runs instead of arriving as a PIER notice with your name on it. While you’re in there: anyone with family-member EI questions (see our family payroll post) or employees who changed provinces gets a second look.

Decide bonuses while timing still has value

Bonuses sit at the junction of payroll and tax planning, and the junction closes at year-end:

Corporate side: a bonus properly accrued by year-end is deductible this year as long as it’s paid within 180 days — the classic tool for managing income against the small business deduction line, as covered in the fall tax planning post.

Personal side: paid in December, it’s this year’s income; in January, next year’s. For an employee near a bracket edge — or an owner-manager steering their own compensation mix — the two weeks between December 20 and January 5 can be worth real money.

Process side: a December 23 panic-bonus run with manual cheques is how source-deduction errors happen. Decide amounts in November; run them like payroll, not like gifts.

And remember the remittance: source deductions on a big bonus run are due on your normal schedule, and the January remittance on December bonuses is a cash item for the Q1 forecast.

Confirm your contractors are actually contractors

Year-end paperwork is the natural audit point: everyone getting a T4 versus everyone invoicing you. The contractor who works your schedule, on your tools, for only you, has a strong chance of being an employee in the CRA’s eyes — and a reclassification bill arrives with both portions of CPP and EI, penalties, and interest, reaching back years. Health clinics with associates (we’ve written about that), trades with long-term “subs,” and agencies with permanent freelancers are the usual files. One structured review, documented, beats hoping.

While you’re at it: anyone paid for construction services may trigger T5018 reporting instead — a different slip with its own rules, routinely missed by contractors who’ve never been asked for one.

The boring data pass that prevents amended-T4 season

Five minutes per employee in November: legal name as it appears with the CRA, current address, SIN on file and valid (a surprising number of files carry placeholder SINs years later), province of employment correct for anyone remote or relocated. Every error here becomes an amended slip in March and an employee whose personal filing bounced. This is the least glamorous item on the list and the one with the best effort-to-pain-prevented ratio.

Frequently asked questions

When are T4s actually due?
Filed with the CRA and delivered to employees by the last day of February for the prior calendar year. Late filing triggers per-slip penalties that scale with how many slips and how late — small for one slip, genuinely painful for a full roster.

Do holiday gifts to staff go on the T4?
Cash and gift cards: yes, taxable, essentially always. Non-cash gifts fit within the CRA’s policy up to a combined annual fair-market-value limit — structure holiday generosity with the policy in front of you and the answer is usually “the gift is fine, the gift card isn’t.”

What is a PIER report?
The CRA’s post-filing recalculation of CPP and EI per employee against what your T4s show deducted. Discrepancies generate a bill — employer liable for both shares of shortfalls. Running the equivalent check yourself before filing turns it into a non-event.

Can I still pay a bonus for this year in January?
For the corporation’s deduction: yes, if properly accrued at year-end and paid within 180 days. For the employee, it’s taxed when paid — which is the planning lever. Both sides of the timing are choices right up until year-end, and facts after it.

What about T4As and T5018s for the people who invoice us?
Fees for services may require T4A reporting, and payments to construction subcontractors generally require T5018s on your chosen reporting period. The fall is when to confirm which slips your payee list actually requires, because assembling a year of payment totals in February is exactly the scramble this list exists to prevent.

Payroll year-end is a checklist, and October is when the checklist is cheap. YBL runs it with clients as part of the standing rhythm — benefits caught, PIER pre-empted, bonuses timed into the tax plan, slips filed early and boring. If your February usually involves the word “scramble,” let’s make this the year it doesn’t.

<!--
